HaloGuard ("HaloGuard," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website at haloguard.ai and our Emergency Intelligence System platform (collectively, the "Service"). 1.1 Information You Provide Directly

Account registration information: name, email address, organization name, job title, phone number

Organization profile data: facility addresses, employee roster, department structure, chain of command, number of personnel, government or non-government status

Location data: addresses, GPS coordinates, and job site information you submit for emergency assessments

Payment information: billing details processed securely through our third-party payment processor (we do not store full credit card numbers)

Communications: messages, support requests, and feedback you send to us

SMS Phone Numbers (with Express Consent). When you join a HaloGuard site via an invitation link, you may provide your mobile phone number. By doing so, you give express written consent for HaloGuard to send you emergency safety alerts, severe weather warnings, evacuation instructions, and post-event accountability check-ins via SMS. Standard message and data rates may apply. Message frequency varies based on the occurrence of safety events at your worksite. You may opt out at any time by replying STOP to any HaloGuard message, or by requesting opt-out from your site administrator. HaloGuard does not share your phone number with third parties for marketing or promotional purposes. Phone numbers used for SMS alerts are retained for the duration of your enrollment plus 90 days after deactivation for audit purposes.

1.2 Information Collected Automatically

Device information: IP address, browser type, operating system, device identifiers

Usage data: pages visited, features used, time spent, clicks, and interaction data

GPS and location data: real-time GPS coordinates when you or your enrolled employees use location-based features during emergency events

Log data: server logs, error reports, and performance data

1.3 Information From Third Parties

Geocoding data from third-party geocoding services to normalize your location inputs

Public hazard and emergency services data from government and public safety databases

2. HOW WE USE YOUR INFORMATION

We use the information we collect to:

Provide, operate, and maintain the HaloGuard Service

Generate AI-powered emergency preparedness assessments and risk scores for submitted locations

Enable real-time GPS-correlated employee check-in and accountability during emergency events

Generate HaloGuard Risk Intelligence Reports for insurance negotiation purposes

Send emergency alerts, notifications, and communications to enrolled personnel

Process payments and manage your subscription

Provide customer support and respond to your inquiries

Improve, personalize, and expand our Service

Monitor and analyze usage patterns to enhance platform performance

Comply with legal obligations and enforce our Terms of Service

Protect the safety, security, and integrity of our platform and users

3. HOW WE SHARE YOUR INFORMATION

3.1 We Do Not Sell Your Data

HaloGuard does not sell, rent, or trade your personal information or organizational data to third parties for their marketing purposes.

3.2 Service Providers

We share information with trusted third-party service providers who assist us in operating the Service, including cloud hosting providers, payment processors, geocoding services, AI infrastructure providers, and customer support tools. These providers are contractually obligated to protect your information and may only use it to provide services to HaloGuard.

3.3 Emergency Situations

In genuine emergency situations where life safety is at risk, we may share location or safety data with emergency services, first responders, or other parties as necessary to protect the safety of your personnel.

3.4 Insurance Purposes

HaloGuard Risk Intelligence Reports are generated at your request for your use in insurance negotiations. We do not share your risk data with insurance carriers without your explicit authorization.

3.5 Legal Requirements

We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or comply with a legal process.

3.6 Business Transfers

If HaloGuard is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change via email or prominent notice on our website.

4. DATA RETENTION

We retain your personal information and organizational data for as long as your account is active or as needed to provide the Service. If you close your account, we will delete or anonymize your data within 90 days, except where we are required to retain it for legal, regulatory, or legitimate business purposes. GPS location data captured during emergency check-in events is retained for a maximum of 12 months for post-incident reporting and compliance purposes unless you request earlier deletion.

5. DATA SECURITY

We implement industry-standard security measures to protect your information, including:

Encryption of data in transit using TLS/HTTPS

Encryption of sensitive data at rest

Access controls limiting data access to authorized personnel only

Regular security assessments and monitoring

No method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.

7. GPS AND LOCATION DATA

HaloGuard's core functionality relies on location data. By using location-based features of the Service, you consent to the collection and processing of GPS coordinates as described in this policy. Organization administrators who enroll employees into the platform are responsible for obtaining appropriate consent from their employees for location data collection during emergency events.

8. CHILDREN'S PRIVACY

HaloGuard's Service is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it promptly.

9. THIRD-PARTY LINKS

Our Service may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.

10. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on our website with a new effective date and, where appropriate, by email. Your continued use of the Service after changes become effective constitutes your acceptance of the updated policy.
